Automations that let one person run social media for many clients

For CapraBrand, our social media tool built for agencies and virtual assistants, we built the automation layer end to end: events out to Zapier and Make, a client-approval chaser, onboarding, weekly and monthly reporting, built-in automatic emails, and a connection that lets you run it all from Claude, ChatGPT, Gemini or Grok. Everything below is live and was tested against the real services, except the built-in emails: all four pass their tests, and one has run end to end on real data so far.

How an event travels

From “the client approved” to the agency's own tools in about 40 seconds

  1. 1

    Something happens

A client approves a post, a post goes out or fails, a new client is added.

  2. 2

    It is recorded once

Collected every minute, stored with a unique key so it never fires twice.

  3. 3

    It is sent, signed

HMAC-signed request, retried for a day, switched off and reported if it keeps failing.

  4. 4

    The agency's tools act

Zapier, Make, a sheet, an email. Measured live: 36 s from click to Zapier.

What was built

Automations for the jobs agencies already pay someone to do

Zapier · Make

Connect the product to thousands of apps

For agencies that already work in Zapier or Make.

  • Custom Zapier app (CLI): 8 instant triggers, 2 actions, REST-hook subscriptions
  • Custom Make app: connection, webhook, brand picker, 3 modules
  • One key for every client of an agency, scoped and revocable
Approvals

Chase clients who haven't approved

For VAs who spend hours nudging clients for a yes.

  • Alert within 5 minutes when a post misses its time unapproved
  • 08:00 digest of everything waiting, grouped by client
  • Ready-to-paste reminder for the client, in French or English
Reliability

Never miss a failure

For anyone who found out a post failed days later.

  • Failed post → email within minutes (Zapier, every client brand)
  • Broken destination: retries at +1 min, +5 min, … then switched off
  • The owner is emailed once, never flooded
Google Sheets

Content log and monthly report

For agencies that report to clients every month.

  • Every published post appended to a sheet, with its links
  • 157 past posts backfilled so reporting starts with history
  • 1st of each month: per-brand and per-channel summary by email
Onboarding · Weekly

New clients and the week ahead

For anyone who keeps a checklist in their head.

  • New client added: tracking row, checklist and a welcome message in English and French
  • Three days later: a check-in, so nobody stalls half set up
  • Every Monday 08:00: what is due per client, and who has nothing scheduled
Built in · No Zapier

Automatic emails, with no Zapier account

For agencies that want the result without building a Zap.

  • Four ready-made emails: failed post, client asked for changes, the week ahead, new client checklist
  • Each one is a switch with its settings inside: who gets it, which clients, when
  • To the agency and its team, never the client, and never sent twice
AI agents · MCP

Run your clients' social media from Claude, ChatGPT, Gemini or Grok

For agencies that already work with an AI assistant.

  • Ask what is due, who owes an answer, or queue a post, in plain language
  • Sign in with OAuth, no key to paste; revoke it any time
  • Same rules as the dashboard: client approval, limits and quotas still apply
